Tools That Help You Work Smarter, Not Harder

When you run a CFO Advisory service, your time is valuable. The right tools help you stay organized, communicate clearly, and deliver results efficiently—without getting bogged down in admin work.

In this article, I’ll share the exact seven tools I use to manage my CFO clients and keep everything running smoothly.

Whether you’re just getting started or already have clients, these tools can help you serve at a higher level without working more hours.

1. Microsoft Office Suite

This is the backbone of everything I do.

  • Excel is where I build scoreboards for clients. It helps them track the metrics that matter most.
  • PowerPoint is what I use to present information visually during meetings.
  • OneNote helps me stay organized with notes for each client.
  • OneDrive keeps all documents synced and backed up.
  • Outlook manages all my communication.

Microsoft 365 gives you the tools to run a professional service, and I rely on it every single day.

2. Zoom

All of my meetings with clients are on Zoom.

You don’t need to meet in person to deliver incredible value. Zoom makes it easy to run consistent monthly meetings, share your screen, and walk clients through their numbers.

If you're offering virtual CFO services, Zoom is essential.

3. Calendly

I use Calendly to let clients book their monthly meetings without back-and-forth emails.

It automatically syncs with my calendar and sends reminders to clients. This reduces no-shows and saves time on scheduling.

Simple, effective, and professional.

4. Capsule CRM

Capsule is the CRM I use to manage leads and follow-ups.

When someone expresses interest in my services, they go into Capsule. I use it to track conversations, send proposals, and keep everything organized.

It’s user-friendly, and it helps me stay on top of my sales process.

5. Loom

Loom is a screen recording tool that lets you send quick videos.

If a client emails me a question, I can record a short video walking them through the answer. It’s faster than typing, and clients love the personal touch.

Loom helps you provide support without always scheduling a call.

6. Dropbox Sign

For contracts and agreements, I use Dropbox Sign.

It allows clients to sign documents electronically, which speeds up onboarding and keeps everything professional.

If you're sending proposals or engagement letters, this is a must-have.

7. Zoom Phone

This is the phone system I use instead of my personal cell number.

It gives me a professional number I can use for business calls and texts. It’s easy to set up and integrates with Zoom.

If you want to keep work and personal life separate, Zoom Phone is a great option.

You Don’t Need to Be a Tech Expert

You don’t need dozens of apps or fancy dashboards. You just need a few reliable tools that help you stay organized, communicate clearly, and deliver value consistently.
